 If you haven’t heard the of the Inverted Pyramid Structure yet, then keep reading. The Inverted Pyramid Structure is a writing tool that ALL journalists and seriously bloggers abide by.

First rule of thumb, the most important  information should be at the beginning of the writing piece, for this particular case, the press release. Include the who, what, when, where, and how of the story in the beginning to lay out the main idea of the story. You must remember, your audience is not inclined to read the whole press release nor do they want to fish for the main parts of the story. You want to make it as easy as possible for the reader to identify the key points of the story.

Once you have laid out the must know information then you can provide the support ideas to the main points. This, in line with the pyramid, would be the middle part of the inverted pyramid. This is information that will help the reader understand the story and be able to dive deeper into it.

Finally, the conclusion must not mention anything new or important to the story that already has not been said. It may reiterate any main points but it should not introduce anything new to the plot. This part would be the end point of the pyramid and should contain information already told or information of less importance. Do not be mistaken, we do not want to add any fluff to the writing piece. There is a difference between fluff and information of less importance.

As a collective, when writing a press release  put yourself in the position of your audience — media, consumers, industry peers, bloggers and other readers. Why would they want to read this press release? What information does it provide for them, or what problem does it solve?

And remember some of these other key points:

  • Never sound as if you are trying to sell the reader something
  • Always sound as if you are trying to inform the reader of something
  • Keep the article written in a professional tone and state facts only
